The Development Department seeks to secure the financial resources necessary to support the NYCLU's mission, strategic plan, and work plan. We engage and partner with our members as well as individual and institutional philanthropists. Within the NYCLU, we work closely with other departments on donor messaging and communications to promote brand awareness and educate stakeholders who are concerned with advancing civil liberties and civil rights in New York and the United States.

SUMMARY DESCRIPTION

The Development Assistant will undertake a range of tasks and responsibilities that facilitate and coordinate the activities of development staff, under the direction of the Deputy Director of Development.

 

ROLES & RESPONSIBILITIES

Event Support - 30%

  1. Assist with ACLU/NYCLU cultivation and fundraising events, including the LGBT Rights Cocktail Party and the Sing Out for Freedom concert.
  2. Assist with the logistics of donor and corporate sponsor communications and event benefit fulfillment, including e-blasts.
  3. Help with all event logistics, including payment requests and workplan upkeep; and
  4. Oversee all documentation of event planning for archives.

Finance Support – 20%

  1. Provide support to the Database Administrator to help process gifts and send out donor acknowledgement letters.
  2. Work with Deputy Director and Director of Development to reconcile department expenses and request payments; assist with budget planning and tracking.

General Administrative Support – 50%

  1. Monitor Department's email accounts.
  2. Manage inventory and distribution of department's public materials.
  3. Assist the Development Officer with the EOY mailing and email campaigns.
  4. Provide logistical support as it relates to the annual Development Plan and the organization of the team retreat.
  5. Assist in planning and facilitating internal and external meetings, including taking notes and meeting set up; coordinate team building activities.
  6. Organize, clean-up, and maintain electronic and hard-copy files.
  7. Work with other departments on specific projects, as assigned.
  8. Additional responsibilities as needed.

QUALIFICATIONS

  1. Minimum one year of experience as an administrative or executive assistant, or related.
  2. Committed to developing and maintaining effective relationships with others, including commitment to values and principles of diversity, equity and inclusion.
  3. Sound judgement in maintaining donor confidentiality.
  4. Results-driven with demonstrated ability to track progress and meet goals, with a bias towards getting things done efficiently.
  5. Detail-oriented and organized; ability to manage, prioritize and complete multiple tasks and projects on-time, under tight deadlines; ability to handle stress and pressure effectively.
  6. Strong customer service skills; views their work as supporting team success by helping to make other team members' work as easy and straightforward as possible.
  7. Well-versed in Microsoft Office Suite.
  8. Experience working with Salesforce or similar fundraising database strongly preferred.
  9. Experience with project management such as Asana and design software such as Adobe Suite, Canva, Figma is a plus.
  10. Good written and oral communication skills, as well as research skills.
  11. Understanding of civil rights, civil liberties and social justice, and commitment to supporting efforts to uphold them.
  12. Willingness to work occasional overtime or irregular hours.
