About Home Planet Fund

Home Planet Fund (HPF) is a 501(c)(3) that is heeding the calls of our changing Earth by supporting Indigenous, community-led nature-based solutions to the climate and biodiversity crisis. HPF funds Indigenous People and Local Communities directly with sizable, long-term grants flexible enough to ensure those on the front lines get whatever they need to fight the climate crisis. One of the ways HPF accomplishes this is by working in ecologically fragile, remote and disputed places others deem too isolated or dangerous. Practicing trust-based philanthropy, HPF gives grants with no strings attached, because they trust those who have always practiced the best solutions for the planet.

Position Summary

As the Finance and Operations Manager, you will work closely with the Executive Director and play an important role in furthering HPF’s mission through implementation of strategic plans, effective direction of operations, and finance management. The Finance and Operations Manager will be responsible for managing and optimizing all internal operations, with a focus on driving the organization's social and environmental impact. This includes overseeing all financial and administrative functions, developing and implementing operational strategies, and driving cross-functional collaboration. The ideal candidate will have experience in high-performing and high impact spaces and have a passion for creating positive change in the world. The ideal candidate will also be interested in growing in the role and organization, including working more with the ED over time on general strategy. 

As the Finance and Operations Manager, you will oversee two main work streams. First, you will be responsible for the day-to-day management of budgets and resources, including financial forecasting and planning and working closely with external accounting, auditing, and investing teams. Second, you will be responsible for ensuring the smooth and efficient running of the organization's operations. This includes liaising with internal staff and external vendors around staffing and services, organization of physical and digital assets, and developing and implementing operational policies and procedures to ensure that the organization is meeting its goals and objectives. 

What You Will Do

Finance and Operations

  1. Manage the service and staffing agreements and PEO relationship with Patagonia. 
  2. Manage the HPF office and mail in Ventura, CA. 
  3. Manage HPF banking, savings, and investing accounts. 
  4. Oversee external vendors for accounting, audit, state solicitations, and non-profit insurance. 
  5. Responsible for managing financial health, planning, and projecting, including monthly reports, annual accruals, and the budget cycle with staff and the board. 
  6. Support the board on operations, including travel and expenses. 
  7. Collaborate with the ED, staff, and Board of Directors to develop and manage the organization's budgets, ensuring that day-to-day operations are aligned with organizational goals and financial resources are used effectively.
  8. Ensure that day-to-day operations are in alignment with organizational goals, and applicable federal, state, and local laws and regulations.
  9. Work closely with the Executive Director and external vendors to safeguard the agency assets by ensuring operating controls are in place.
  10. Lead contract management and due diligence procedures.
  11. Oversee day-to-day financial operations through bill.com, monitoring and actively managing approved budgets and proactively planning for recurring invoices.
  12. Proactively plan for and collaborate with external accounting and legal firms to conduct annual audit and filings. 
  13. Create and manage financial forecasting, budgets, and records in QuickBooks with support from external accounting firm. 
  14. Manage HPF’s nonprofit insurance plans. 
  15. Oversee payments to vendors (eg: Bill.com).
  16. Collaborate with third-party vendor to manage multi-state and international charitable solicitation registration processes.
  17. Oversee the development and implementation of policies and practices that create a positive and inclusive work environment.
  18. Manage and own HPF digital organization and assets, including decisions around email and online sharing platforms as well as other tools. 
  19. Support communications staff by managing the contracts and financial flow from digital fundraising, including through EveryAction and Paragon.

Grants Management

  1. Manage grant life cycle from a finance, payments perspective.
  2. Provide grants management support to the ED regarding grants administration process, compliance, and finance.

Who You Are

  1. We are looking for a colleague who is curious and a self-starter to join our small team. The ability to be nimble, to iterate as the context changes, and to communicate needs and interests is key. 
  2. Culturally competent in working with individuals and groups of diverse racial and socioeconomic backgrounds.
  3. Superior communication skills, both oral and written; strong sense of emotional intelligence with the ability to work effectively with people at all levels of the organization.
  4. Tech savvy, with high proficiency with databases and various management systems including QuickBooks. 
  5. Able to prioritize a heavy workload while remaining creative and agile, able to juggle a variety of key areas, adapting to the changing needs of the organization
  6. Passionate for the kind of change we want to promote, coupled with an open mind about working with people whose ideas and opinions differ
  7. Lived or working experience and deep knowledge of Indigenous peoples and groups either in the Americas or with local communities overseas. 
  8. Willingness to travel to the HPF office, grantee locations and program events, as needed. This includes a quarterly staff meetup and an annual board meeting. 

Experience You Bring

  1. 5- 7 years financial management experience required;
  2. Experience in an operations environment, such as managing the general needs of an organization, as well as identifying and driving the improvements that will contribute to future success;
  3. Experience with contract management and due diligence procedures;
  4. Experience managing third-party service providers; and 
  5. Lived or working experience with Indigenous Peoples in the Americas or local communities globally.

Compensation and Benefits

The annual salary range for the position starts between $110,000 and $140,000 commensurate with experience. We also offer a comprehensive package of benefits.

Location

This is a highly flexible, remote role with occasional travel to our offices in Ventura, CA.
