- The position is within a philanthropic or nonprofit organization
- The position itself is philanthropic in nature and/or focuses on roles essential to or valued by the philanthropic sector i.e. fundraising, grantmaking, gift processing or development, donor relations, nonprofit management and/or administration, social justice, equity, conservation, etc.

Administrative Specialist
Job Details
The Administrative Specialist is responsible for organizing and coordinating office operations and clerical procedures, supporting executive staff, and performing administrative duties while maintaining confidentiality.
Core Responsibilities:
- Serve as the first point of contact for the organization, demonstrating excellent customer service.
- Open and close office space according to documented procedures.
- Answer incoming calls and emails, field questions or route calls as needed.
- Collect and send out mail daily, manage all deliveries.
- Coordinate staff meetings, retreats, and events.
- Bookkeeping tasks as assigned, including coding monthly credit card statements, online giving statements, and invoices.
- Serve as liaison with vendors for facility and office services.
- Maintain office inventory, track expenses, and project annual office supply budget.
- Coordinate registrations and travel for directors.
- Provide HR support for search committees and new hire onboarding.
- Provide individual donor support by drafting, sending and documenting donor communications, providing basic donor services, coordinating online giving campaigns, and supporting logistics, planning and implementation of annual donor events.
- Provide grants management support with data entry, coding and filing.
- Maintain WTA’s donor database by entering donations and keeping accurate records.
- Manage an organized and efficient hard copy and electronic filing system.
- Use software applications, office equipment, and related tools to perform a range of routine to moderately complex work assignments.
- Support directors as needed with drafting letters, notifications, reports, memos, and documents; collect and analyze information; answer, route, and initiate communications.
- Coordinate a variety of administrative projects for staff and board, as requested.
Occasional Duties:
- Serve on internal staff committees.
- Provide support to colleagues with outreach events, volunteer events, cultural programs, and other activities when needed.
- Other duties as assigned.
Required Qualifications:
- Minimum of 4 years relevant work experience. Post-secondary education may be substituted for experience.
- Highly self-motivated and self-directed, strong organizational skills and attention to detail, and the ability to manage multiple ongoing priorities. Strong English language skills in both oral and written forms.
- Ability to prioritize, multi-task and problem-solve in fast paced, dynamic work environment.
- Typing skills using a computer keyboard with speed and accuracy.
- Highly proficient in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
- Superior attention to detail, organizational skills, and follow through ability.
- Ability to operate general office equipment such as computers, copiers, fax machines, documentation production equipment, etc.
- Must be able to pass a criminal background check.
- A valid driver’s license, personal vehicle, and current insurance, to travel to offsite meetings and events.
Preferred Qualifications:
- Post secondary education in office administration, business administration, or similar.
- Experience working with American Indian communities and other cultural communities and under-represented groups and identities.
- Experience working with Customer Relationship Management tools
- Experience working with financial or accounting systems
Physical Requirements:
- Ability to sit at a desk, look at a computer screen and perform keyboard functions for extended hours.
- Ability to lift file boxes (50 pounds or less).
Salary:
$50k-$60k
