About the role: Join a thriving intellectual community that attracts curious and committed colleagues as UMF’s Front Office Manager. This position serves as the first point of contact for the Foundation Office and is vital in creating a professional image for the organization. While leading UMF’s front office, this position works to create an integrated, high functioning customer experience. 

The ability to provide clear and accurate information in a personable and professional manner to all constituents is critical to the organization’s success. This position has the authority to make decisions and changes that affect office operations. Working with the Director of Workplace Operations and UMF staff, the Front Office Manager provides support and assistance for the Foundation that is essential for delivering high quality administrative support services to approximately 240 staff.

What you’ll do:

Front Office Management (40%)

  • Serve as point of contact for the Foundation, in person and over the phone, to receive donors, staff, and University and community partners and volunteers, explaining complex policies and procedures, independently addressing inquiries and solving problems and redirecting to appropriate staff as necessary.  
  • Responsible for answering the UMF main phone line: Greeting callers, establishing purpose of call, routing to appropriate team. 
  • Coordinate with UMF staff and collegiate partners to manage office access and reception coverage for meetings and events taking place in the office.
  • Maintain security access data for UMF staff and collegiate partners, in partnership with building management at the McNamara Alumni Center
  • Provide accurate information, assistance and support in response to questions about events and activities of the Foundation, including knowledge of on-site and off-site functions
  • Collaborate with UMF staff to create operational processes to ensure efficiencies for UMF

Administrative Support (40%)

  • Manage UMF conference and meeting spaces, including calendar coordination, room preparation, and material and refreshment distribution.
  • Manage general office supply inventories and ordering process for the organization and provide assistance with special orders as requested by departments, ensuring budgeting accounts are charged accurately.
  • Serve as the contact for equipment service and maintenance. Assist with the processing of UMF mail; coordinate and track courier requests

Diversity, Equity and Inclusion Support (10%)

  • Serve as primary support for Diversity, Equity and Inclusion programs, including planning and calendaring of activities, gathering and preparing material, taking notes and other needs as designated by the Director.

Organizational Development, Learning and Talent Management Support (10%)

  • Serve as primary support for Organizational Development, Learning and Talent Management programs, including planning and calendaring of activities, gathering and preparing material, taking notes and other needs as designated by the Director.

Qualifications:

  • High school diploma/GED and four years of related office experience beyond high school.
  • Demonstrated customer support, phone answering, receptionist/front desk experience in a professional office environment preferred.
  • Demonstrated experience problem solving and researching, with critical thinking ability.
  • Demonstrated intermediate skills in Microsoft Office to include Word, Excel and PowerPoint
  • Previous experience managing multiple user and calendar accounts and schedules
