Job Details

The Advancement Operations Coordinator, under the direction of the Senior Director, Internal Operations, assists with all efforts and programs focused on guiding the day-to-day and yearly operations within the department. This position has two key areas of responsibility. First, is to work interdepartmentally and with the Advancement Operations staff to analyze and resolve existing business challenges and implement tools to help maximize efficiencies. This includes contributing to policy and procedure development, handling of a variety of fundraising and project management; working with outside vendors and helping the Museum's Advancement Division run smoothly and ensuring that deadlines, plans or anything related gets accomplished on time with little to no issues. Second, is playing a key role in Advancement Events.

To that end, this position works closely with the Events and Community Fundraising Manager and the Museum's Event Sales, Strategy and Operations (ESSO) team to support a robust and multifaceted program of stewardship and fundraising events. This includes managing internal relationships across the Museum, pre and post event data analysis, and help with event research, strategy, and goal shaping. These activities serve as a focal point for stewarding existing donors, engagement of new and future donors, and securing annual income through a suite of peer-to-peer and fundraising events.

RESPONSIBILITIES:

  • Project timelines for 80+ fundraising activities, strategies, and events each year.
  • Support 5-10 Fundraising Events and Campaigns to help drive annual income of $1 million annually.
  • Track and maintain event and fundraising activity for projects with between 10 to 500+ participants.
  • Oversee production of 3-6 pieces of collateral per project, up to a six-month timeline.
  • Coordinate 1-5 invitation list pulls per event and post event data entry.
  • Flexible schedule with night work often (and infrequent weekend work), especially in spring and fall.

  WORK SCHEDULE: Monday - Friday, 40 hours / week, some nights and weekends may be required

REPORTS TO: Sr. Director, Internal Operations

MINIMUM QUALIFICATIONS:

  • High school diploma or equivalent.
  • Two (2) or more years of project management and/or fundraising coordination experience.
  • Demonstrated project management and fundraising experience.
  • Track record of attention to detail, organizational and time-management skills.
  • Comfort working effectively across departments and through different communication methods.
  • Comfort with juggling multiple workstreams, prioritizing time-sensitive projects, and adjusting to changing priorities.

STARTING SALARY: Non-Exempt (Hourly). $23.48 - $25.48 / hour

The Museum is not required to provide an accommodation or exemption from the vaccine requirement if doing so would pose a direct threat to others in the workplace or would create an undue hardship for the Museum.
