About the role:

The Development Specialist for Scholarships & Medical Education role performs and independently completes department projects utilizing broad experience, technical skill, and knowledge of organization policies and practices. This position exercises a large amount of independent judgment and discretion on important matters including planning, research, and data management. This position makes recommendations to leadership regarding stewardship projects, event programming, publication materials, fund reporting, donor contacts and engagement, calendar/scheduling, donor stewardship correspondence & activities, meeting preparation, logistics, documentation and follow-up. This position works closely with and supports other team members (including Development Director, Medical School – Duluth) and Medicine & Health departments, and with other units of the Foundation and University. This position represents the University of Minnesota Foundation (UMF) across departments and unit lines, with the University of Minnesota Medical School offices, student body, faculty, and departments, and the donor community.

What you’ll do:

40% - Project Management

  • Manage special fundraising projects as the departmental representative in a larger University or Foundation group, or as the point person on targeted projects and initiatives.
  • Plan and establish work goals, tasks, and resources required to complete administrative and special fundraising projects. Provides updates and discusses status of projects with Director of Development on a regular basis.
  • Research, identify, and recommend story ideas for publication in Medical Bulletin and UMatters, which support the department’s fundraising priorities. Facilitate outreach to the story subject, obtain permissions/authorizations, and conduct follow-up activities & documentation.

20% - Fund Administration

  • Manage the annual selection process of the Gault Honorary Scholarship working closely with Finance to determine the award amount and the Medical School to verify list serve email addresses, issuing the call for nominations, receive, acknowledge & track nominations, submit nominations to the Selection Committee, determine award recipient.
  • Manage the annual Alpha Epsilon Iota Endowment Scholarship selection process including working with Finance to determine the available award amounts, requesting candidate information from Office of Student Finance, editing and redacting candidate information, distributing candidate information and ranking ballot to AEI Bd. Tabulate rankings and determine scholarship recipients. 
  • Manage new scholarship fund establishment including determining and documenting fund type, selection criteria, initial gift, Authorized Signers and Fund Relationship connections. Monitor spending balances of scholarship funds (in DMS and STAR) and work closely with Med School Office of Student Finance to assure that funds are awarded according to established criteria outline in the MOA.

15% - Event Coordinator

  • Work closely with the Director of Development and UMF Events Team to plan and establish work goals, tasks, and resources required to complete event projects. Provides updates to and discusses status of projects with Director of Development on a regular basis.
  • Identify and communicate directly with scholarship recipients regarding their donor’s attendance.
  • Create customized event materials including: bio documents for Dean of the Medical School, a donor/recipient ‘pairing’ spreadsheet., ‘regrets notes’ for attending donors whose recipients are unable to attend, and a ‘shot list’ for the event photographer.
  • Generate a directory of scholarships and recipients for attendees at the event.

15% - Reporting and Information Management

  • Manage departmental activities and data reporting. Monitor departmental budget. Request and manage information from (Donor Management System) DMS system, serving as development liaison to the UMF IT Team. Request and utilize Query information appropriately in support of unit activities.
  • Create and produce program reports, activity reports, and other information for analysis of department initiatives in collaboration with unit team members.
  • Manage and track information, and produce reports associated with scholarship selection criteria preferences, annual giving appeal mailings, reunion class fundraising results, multiple contributing donors to priority scholarship initiatives, as well as broader fundraising reports.

10% - Administrative Support

  • Manage scheduling and logistics for department interviews and new employee orientation training. Conduct orientation sessions and be the in-house coach on select departmental topics. Work closely with departmental leadership and UMF HR staff.
  • Lead administrative support for the Director of Development and Development Officer including scheduling meetings and coordinating meeting materials, logistics, and technical support. Handles department purchasing and reimbursement/budget, oversees student workers. Prepares gift acknowledge correspondence for mailing; prepares and uploads donor correspondence to DMS.
  • Assist in on boarding of development assistants and student assistants including training and coaching.

Qualifications:

  • High school diploma/GED and five years of related experience to include project management, or a combination of education and relevant executive level project coordination and administrative experience to total five years.
  • Demonstrated advanced level experience with Microsoft Office software (Word, PowerPoint, Excel, and Access) including advanced word-processing and presentation creation, spreadsheet and database creation and use.
  • Proficiency in advanced computing functions such as downloads, querying and data analysis to design and generate ad hoc reports, and creation of complex presentations including advanced formatting and integration of multimedia.
  • Experience coordinating event logistics and working with volunteers.
