About Native Americans in Philanthropy
Native Americans in Philanthropy envisions a future with healthy and sustainable Native communities supported by responsive philanthropy. Our mission is to promote equitable and effective philanthropy in Native communities. We have more than a 30-year presence in the field and work closely with our counterpart organizations advocating for Tribal communities. The cornerstone of our work is our relatives and our networks. We support several communities of stakeholders that work together to build knowledge, community, priorities, and power in the sector. These networks include Native professionals in philanthropy, elected Tribal leaders, Native youth leaders, Native philanthropic executives and board members, and Native nonprofit leaders.
About the Position
Native Americans in Philanthropy (NAP) is looking for an Office Administrator to provide departmental support to all team members in the External Engagement department. The department oversees the development and implementation of all strategic communications planning and messaging, public relations planning and implementation, events and conferences, social and digital media and media relations strategy, editorial management and internal communications management.
The Administrator will coordinate all administrative tasks for the department, such as drafting papers, processing payments and expense reports, correspondence, creating agendas, maintaining calendars, and coordinating meetings. The Administrator will maintain internal communication and assist with assignments to ensure the effective and efficient completion of necessary tasks. The Administrator will support the team's digital media, communications, event and marketing ensuring the accuracy and efficient dissemination of information.
Primary Responsibilities
- Serves as a key resource for engagement and external affairs information. Resolves problems or questions referred by NAP team members.
- Audits and oversees payment processing and entering bills into payment systems.
- Determines priorities and timelines, anticipates, and solves problems, and ensures that the department office functions effectively.
- Assist with the internal communication of the staff, maintaining essential information on initiatives.
- Provides effective calendar management for the NAP staff and coordinates meetings appropriately.
- Processes data collection and data entry at a high-level and measures information.
- Will assist in managing programs and reports from projects and maintaining an updated calendar.
- Keeps the essential information of the department up-to-date and acts as a primary point of contact for the NAP staff.
- Prepares and maintains information, data, and projected project deadlines.
- Prepare regular reports and presentations.
- Organize and store organizational documents in SharePoint for ease of retrieval; maintain accuracy of the document retrieval system.
- Will provide support to graphic design and digital media by creating layouts and publishing approved content through the monthly journal and other publications.
- Collaborate on design materials that will engage the NAP’s team.

Knowledge, Skill & Ability
- Effective time management, administrative, technical, and organizational skills, as well as strong analytical and problem-solving ability, is required.
- Demonstrated ability to collaborate with internal and external parties; able to respond with clarity and diplomacy in writing and verbally.
- Knowledge and ability to use all major Microsoft Office tools and experience performing digital administrative tasks.
- Knowledge in Asana and/or other project management tools.
- Excellent interpersonal skills: the ability to interact with diverse internal and external constituents.
- Knowledge in general ledger reconciliation, ensuring data accuracy.
- Knowledge in marketing communications.
- Demonstrate general understanding of social media platforms and their relative functions, graphic design, and calendar functions.
- Working knowledge of graphic design websites such as Canva.
Physical Requirements
- This position requires travel up to 25% of the time for meetings and conferences.
- Must be able to lead Zoom and other video conference calls and use computer equipment.
Qualifications
- Three years of experience working as an administrative assistant or office manager in communications, marketing, public relations or digital media.
- Experience with Microsoft Office, SharePoint, Asana and/or other project management tools, and CRMs such as SalesForce for nonprofits.
- Knowledge or the ability to learn Hubspot, Survey Monkey, Canva, Coschedule, and other digital tools.
