SUMMARY

The Awards Associate (Associate) reports to the Director of Award Administration and is responsible for a variety of administrative, logistical, and customer service tasks that support the daily functions of Re:wild’s awards program (grants and contracts). The Associate is directly responsible for the administrative aspects of grants and contracts issued to award recipients, including assistance with due diligence activities, preparation and revision of agreements, review of invoices and financial reports, maintenance of award files, and support for online award management system(s).  S/he works closely with project managers to ensure that the terms and conditions of agreements are met and properly documented, and directly with finance staff to clarify or facilitate financial and administrative requirements.  The Associate is a primary point of contact for award recipients on award administration issues.

PRIMARY FUNCTIONS

  • Administers an online award management system (currently SurveyMonkey Apply); including managing workflow, report generation, technical support, form creation, liaison with developers, and support for awardees and managers.
  • Manages administrative aspects of awards (grants and contracts), including assistance with due diligence activities, subgrant preparation and revision of agreements, monitoring the timely submission of deliverables from awardees, reviewing invoices and financial reports, and maintaining award files and documentation.
  • Monitors and coordinates the administration of post-award grants and contracts to ensure that budgeting and administrative policies, procedures, and donor requirements are being followed; manages administrative problems and/or budget changes occurring during the award term.
  • Tracks all award-related deadlines and notifies awardees and other Re:wild staff of pending deadlines.
  • Assists with reconciliation of financial data as reported by grantees and verifies funding amounts released to grant recipients.
  • Primary point of contact for award recipients and capable of answering routine questions or escalating inquiries appropriately.
  • Contributes on an ongoing basis to cross-departmental and organizational projects and priorities. Works with the Finance and Ops team, and others as needed, to identify issues and craft solutions.
  • Assists the Director of Award Administration with all grants-related functions and other administrative duties as requested.

 

POSITION REQUIREMENTS

  • Education / Experience: Bachelor’s Degree (applicable field preferred) and 2 years related experience in award administration/grants management, or equivalent combination of education and experience.
  • Technical Knowledge:
    • Grant Administration: Experience with grants/contract-management software or equivalent. Experience with grants accounting and financial reporting to donors and/or government agencies.
    • Contracts and Agreements: Experience understanding, reviewing, and editing complex documents such as contracts and award agreements. Experience with document management.
    • Finance: Experience developing and monitoring project-level budgets. Ability to read and comprehend financial reports, and to generate financial reports from various systems as needed.
  • Organizational Skills: Highly detail oriented. Ability to complete work independently and in accordance with strict deadlines and due dates. Ability to maintain records (both electronic and manual) to comply with record retention requirements.
  • Communication Skills: Customer-service orientation and strong verbal and written communication skills.  Proven ability to communicate effectively, promptly, and positively with people representing a wide variety of backgrounds, cultures, and professional roles.
  • Other Skills:

PREFERRED QUALIFICATIONS:

  • Legal background or experience working with legal documents and legal agreements.
  • Experience with GAAP, fund accounting, and/or non-profit accounting principles, practices, and regulations.
  • Multicultural experience and/or multilingual skills appreciated.

COMPENSATION AND BENEFITS

  • This is a full-time, salaried position, working around 40 hours per week with a flexible, family-friendly schedule (subject to supervisor approval).
  • Re:wild offers a competitive salary in the range of $50,000-$70,000, final determination to be made commensurate with the candidate’s experience.
  • Re:wild provides medical, dental, vision, short- and long-term disability, and life insurance, with Re:wild covering 80% or more of the premiums. Re:wild also offers a 403b retirement plan with up to 3% match after a year of employment.
  • Re:wild observes 12 paid holidays each calendar year. Full-time employees can also accrue the following annually: 15 days of vacation leave, 12 days of illness leave, 3 personal days and 2 volunteer days.
