Established in 1990, AAPIP is a justice-minded national affinity group that provides unique community spaces for Asian Americans, Native Hawaiians, Pacific Islanders (AA and NH/PI), and allies in philanthropy. We are a membership-based organization that centers equity and justice in philanthropy to move money and build power of Asian American, Native Hawaiian, and Pacific Islander communities for an inclusive democracy. Anchored by national staff, AAPIP works across the country through a chapter network as sites of regional activism within philanthropy for leadership development, network building, information sharing, and place-based advocacy around issues impacting our communities and philanthropy.

Job Description

The Director of Finance & Administration (DFA) is responsible for the organization’s overall financial management and administrative oversight.  The DFA reports directly to the President and Chief Executive Officer (CEO) and works collaboratively with a small but growing staff team of 8-10 to fulfill the mission of the organization.  The DFA supports board-level meetings and Finance Committee work and serves as the principal contact for outside accounting and audit providers, IT contractors and other consultants. Essential Duties & Responsibilities include the following. Other duties may be assigned.  Financial Management Oversee and direct accounting, budgeting, audit, and long-range forecasting activities.
  • Implements efficiencies across financial systems including the selection and configuration of new accounting and expense management technology.
  • Plans, coordinates, and executes annual budget development for the organization and leads forecasting processes. Collaborates with membership, program and development staff on financial budget and reports for grants and contracts management and ensure compliance.
  • Oversees the development and delivery of timely and accurate financial reports and analysis to support decision making across the organization including analyses and dashboards for the Board Treasurer, Finance Committee, and Board.
  • Provides strategic financial input and leadership on decisions affecting the organization, such as evaluation of potential partnerships, business challenges, and financial investments.
  • Manages the outsourced accountant and works to continuously improve the quality and efficiency of operational accounting services such as accounts receivable, payroll, accounts payable, and purchasing.
  • Formulates and recommend sound fiscal policies, systems, procedures, and forms. Oversees the development of and adherence to internal control policies building the financial literacy of the team in the process.
  • Coordinates external audit and ensure compliance with all local, state, and federal government regulations and other applicable laws and requirements governing foundations and charitable organizations, including but not limited to managing tax and other regulatory filings.
Administration             
  • Oversees contracting of other external consultants including preparation of contracts and associated paperwork and works with team members to ensure proper oversight and tracking of payments and deliverables.
  • With CEO, informs strategy for employee benefits, including reviewing personnel policies, procedures, and the employee handbook.
  • Effectively responds to staff inquiries regarding payroll, personnel benefits.
  • Works with the Membership & Operations Manager on implementing process change within financial and administrative systems. This includes working with technology consultants on effectiveness of technology solutions (network, server, security, email accounts, software, hardware, etc.)
  • Reviews insurance coverage and works with appropriate brokers regarding changes as needed, ensuring competitive pricing.
  • Ensures compliance with all relevant local, state, and federal laws for assigned area of responsibility. 
Board and Board-level Committee Meetings
  • In conjunction with CEO, organizes and supports the work of the Finance and Audit Committee.
  • Oversees the production of periodic financial statements, analyses and reporting dashboards for the CEO, and the board, to track the financial health of the organization.
  • Supports the work of the Board Treasurer and Finance Committee, including organizing, preparing materials, and staffing committee meetings.
Supervisory Responsibilities Provides daily work direction to outsourced operations support – IT consultants, outsourced accounting, and other consultants. May also supervise summer intern, temporary or volunteer staff. FLSA Status: Exempt Salary and Benefits: $100,000-$115,000/year depending on experience.  Benefits include full medical, dental, and vision. Job Qualifications

Education/Experience
  • Bachelor’s degree (B. A.) or equivalent work experience.
  • Minimum 5-7 years experience in a finance/operations or related function in a nonprofit organization.
Skills & Qualifications
  • Knowledge of non-profit accounting a must
  • Knowledge of AAPI community resources, issues, and trends.
  • Strong working knowledge of operations management including financial planning and budgeting, staff planning, technology planning and management and relevant laws and regulations.
  • Experience and enthusiasm for setting up new systems and processes around technology investments including selection of technology and training of staff.
  • Strong problem solving skills in a fast paced work environment
  • Excellent oral and written communication skills and interpersonal skills, including the ability to listen effectively, to select and use appropriate communication methods, and to present ideas and information effectively, both orally and in writing.
  • Demonstrated ability to work collaboratively in staff teams while also effectively coordinating and directing the work of other staff.
  • Ability to maintain a high degree of confidentiality and professionalism in all aspects of the job, including displaying courtesy and sensitivity in all contacts and managing difficult client situations effectively.
  • Intermediate to Advanced proficiency in Word, Excel, PowerPoint, Google docs, Dropbox and financial accounting software are required. Experience with Salesforce and FundEZ or QuickBooks Online software is highly desirable.
 Certificates, Licenses, Registrations:  SHRM a plus.
